Stock Certificate Glossary

Canceled date

The date when the stock certificate is expired. Usually, a canceled date is recorded when property is sold and the water rights are given to the new owner.

Certificate number

The identifying number assigned to a stock certificate.

Class

The class designates the certificate type that was issued. You can use the Class to group and categorize stock certificates on reports.

Class is a self-validating field.

A self-validating field is a field that you can type in anything you wish to enter. You can tell which fields are self-validating because they have a light-blue background. Clicking the drop-down list will display the values that have been entered during previous sessions, or click on the field and type in a new entry. The next time you use the self-validating field, you can find the entries that you have added in the drop-down list.

Create proxy voting history

Proxy voting history is a record of the votes that have been submitted by the shareholder for voting ballots from previous elections. It provides a record of the proxy voting mailing.

Using Create Proxy Voting History will save the proxy voting record with the stock certificate.

If this option is not selected, you can run the routine without saving the proxy vote.

Director

A director is an individual who has been elected to the board of the water district. The director names are saved in Utility Management > Organization > Organization on the Stock Certificate tab.

Due date

The due date is the date when a voting ballet must be received to count it in the election results.

Expiration date

The expiration date is the date when the proxy vote is no longer valid.

Forms

A form is any document that has been set up to print information, such as text, titles, or variables, in a specific format to plain paper or pre-printed stock.

Issued date

The date when the stock certificate was created.

List

A list is a quick way to check the selection criteria the report will use to print forms before the actual forms are printed.

Mail to information

This is the name and address of the person who will receive the stock certificate, voting ballots, and correspondence created for the Stock Certificate module.

Mailing date

The mailing date is the date the proxy voting ballot is sent out.

Owner information

The owner legally owns the property. If the owner occupies the service address, select the Mail To Information checkbox to mail the stock certificate and proxy voting ballot to the service address. On the other hand, if the service address is leased property, deselect the Use Owner Information and fill in the landlord's name and mailing address.

Print a solid line after a record to make the report easier to read.

Proxy voting good for x years

Proxy voting is the length of time a vote received from a shareholder is valid.

For example, if the last time the shareholder voted was 2012 and the proxy voting period is good for 5 years, then the shareholder's vote in 2012 is valid until 2017 even though the shareholder chose not to vote during that period.

Proxy voting

Proxy voting is an election where a shareholder chooses who will serve as directors on the water district board.

Received date

The received date is the date when the stock certificate was delivered to the new shareholder.

Returned date

The date when the proxy voting ballot was recorded.

Service address

The service address is the location of the purchased property.

Shares

A share represents a portion a larger amount that is divided among a number of people. This field will display the number of shares assigned to the previous stock certificate that was assigned to the same service address.

Stock certificate number format

A number format is a series of symbols that represent a pattern for formatting numbers. The mask can include additional information, such as the transaction number and transaction type.

Use these symbols to create a mask:

  • Use YY to represent a two-digit year.

  • Use YYYY to represent a four-digit year.

  • Use MM to represent a two-digit month.

  • Use # to represent a number that will auto-increment.

  • Use a period (.), dash (-), or forward slash (/) to separate segments. Note: The application uses literal values for all other characters.

Vote

The official choice made by a shareholder. There are four voting options: For, Against, Abstain, and Split. For is in favor of the nominated directors; Against is not in favor; Abstain is a non-vote; and Split is a vote for some of the nominated directors but not all.
